A Group Stay Guide to the Brooklyn Book Festival Weekend

The Brooklyn Book Festival runs September 20 to 28, 2026, with free literary events in person and online, and closes with Festival Day in Downtown Brooklyn. Whoever holds rooms for a group arrival works to that calendar.

The dates your group is booking around

Virtual Festival Day opens the run on September 20, 12pm to 5pm. Children's Day takes over Brooklyn Borough Hall at 209 Joralemon Street on Saturday, September 26, 10am to 4pm. Festival Day and the Literary Marketplace follow on Sunday, September 27, 10am to 6pm. Bookend events fill the nights from September 20 to 28 in all five boroughs.

Where to hold the rooms

Festival Day spreads across eight indoor and outdoor stages in Downtown Brooklyn: Brooklyn Borough Hall, Brooklyn Law School, the Center for Brooklyn History, St. Ann and the Holy Trinity Church, Columbus Park, and the Korean War Veteran's Park. Hold your block between Borough Hall and Jay Street, and most of that list sits inside a walk.

Ask the hotel two questions before you compare rates: how many rooms it can hold across your dates, and which of those venues sit within walking distance of the door. A block near Borough Hall removes a commute before the first panel.

A Sunday 10am start sets the arrival night

Most hotels open check-in in the afternoon. A 10am Sunday start does not wait for that. Your group needs rooms from Saturday night, and it needs somewhere to leave bags and change before the first session.

Ask for early check-in on the Saturday arrival, or for bag storage from the morning. Ask whether keys can be issued in one batch to a group contact. Children's Day starts at 10am on the Saturday as well, so a family group arriving Friday night needs the same arrangement.

Settle the rooming list before the cut-off

Names in, names out, who shares with whom. Ask for the rooming list deadline and the name-change deadline on the day you sign the block, and send a first list early even when it is half full. Ask how single and double occupancy are billed, and who pays for incidentals charged to the room. A group that settles billing rules at the desk on Sunday morning delays its own check-in.

Deposit and attrition, in that order

Get the deposit amount, the due date and the refund conditions in writing. Then get the attrition percentage, the date the shortfall is measured and the rate it is charged at. If your group shrinks between booking and arrival, those three numbers decide the bill.

Bookends split the group across the boroughs

Bookend events run across all five boroughs from September 20 to 28. If part of your group is committed to a Bookend event outside Brooklyn on the Saturday night, a second small block near that venue usually costs less than moving everyone by car.

One warning from the festival

The festival has posted a scam alert: people posing as staff or representatives of the Festival are contacting authors and publishers. If anyone asks your group for money or details in the Festival's name, check it against info@brooklynbookfestival.org before you act.

Send the guide with the confirmation

The festival publishes a free digital guide through the Bloomberg Connects app, covering Virtual Festival Day, the Bookend nights, Children's Day and Festival Day. Send that link with the rooming confirmation.

The one confirmation to get in writing

Ask for a single written confirmation naming the room count, the nightly rate, the arrival and departure dates, early check-in or bag storage for the Saturday arrivals, and the deposit amount with its deadline. One page from the property, signed off before your group pays anything.
