Group Rooms for the Gas Machinery Conference in Indianapolis

The Gas Machinery Conference runs October 4 to October 7, 2026 at the Indiana Convention Center in Indianapolis. The venue forecasts 900 attendees. Whoever holds the rooms for the engineers, the exhibitors and the rigging crews carries the block, and the block is a contract.

October 4, 2026 falls on a Sunday. October 7 falls on a Wednesday. That shape sets the room nights before you speak to a sales manager.

What the venue publishes

The Indiana Convention Center sits at 100 South Capitol Ave, Indianapolis, IN 46225. The venue lists the run as October 4 to October 7, 2026 and forecasts 900 attendees. It posts the doors-open time on the event website.

The conference provides technical training and presentations from subject matter experts. Its sessions draw on recent Gas Machinery Research Council research, with an emphasis on the operation, maintenance and testing of gas compression machinery. The audience is design engineers, facility engineers, technicians and others who work on that equipment.

The downtown room supply

The venue publishes four numbers that shape a block in Indianapolis. Downtown holds 7,100 hotel rooms. Skywalks connect 4,700 of those rooms to the Convention Center. Downtown holds 200 restaurants within walking distance. Indianapolis International Airport sits 15 minutes from downtown.

The skywalk number carries the weight for this group. Those 4,700 rooms sit on a covered route to the hall, and a delegation that moves equipment uses it.

A Sunday arrival and a Wednesday release

A Sunday arrival with a Wednesday release is three nights: Sunday October 4, Monday October 5 and Tuesday October 6. The group clears the block on the morning of Wednesday October 7.

That count is the floor. Test it against the programme.

Hold the nights the work needs

Ask two questions before you fix the number. When does the first technical session start? When does the exhibit floor open? The earlier answer sets the arrival night for the people who must be in the room for it.

Build the count from your own delegate list. Anyone who installs, rigs or sets up before the floor opens needs the night before that work starts. Anyone attending only the technical programme needs the night before the first session they sit in. Anyone arriving on the opening morning needs no night at all.

Two dates fall out of that exercise: the earliest arrival in the delegation and the latest departure. The block runs between them. A block written on the conference dates alone leaves the setup crew booking outside the group rate on the night it lands.

A delegation that rotates across the week

A group that changes people in and out breaks the one-name-per-room assumption. The names on the list at the cut-off will not be the names at check-in.

Ask the property how it handles a name change, who may authorise one, and what it charges. Ask for the rooming list deadline and the name-change deadline in the same reply. Keep the list as one row per guest per stay, with arrival and departure dates on every row, and send a fresh file each time the delegation moves.

Where a room turns over mid-week, ask whether the property will reassign it without a cleaning charge and whether the group contact can collect keys in one batch. Ask where luggage sits on the changeover day.

Deposit, attrition and the cut-off

Ask for the deposit as an amount, a due date and a destination: applied to the first night, spread across the stay, or held as a separate sum. Ask who signs for it, because the signature decides who owns the shortfall.

Attrition is the payment a group makes when it uses fewer rooms than the block promised. Ask for the percentage, the date it is measured, whether it counts rooms or room nights, and the rate the shortfall is charged at. Those four answers produce four different invoices.

The cut-off date returns your unsold rooms to general inventory. Ask for the date, the time of day, and the person who can extend it. Ask whether a late name still receives the group rate after that date.

The one confirmation to get in writing

Before you commit, ask the property to state one thing in a single written reply: the number of room nights the group is responsible for, the rate a shortfall is charged at, and the date the shortfall is measured.

Send the request by email and keep the reply with the signed contract. Every other number in the block follows from that sentence.
